Email retention

At our school, teachers have a Mozella mailbox where their emails are downloaded to--retained on their school issued laptop computers.I believe they may also be retained for some time as webmail on the server...but, I haven't figured that one our, when I go to my webmail, the emails that I've sent and have been retained, or emails that are still on the server--it just seems to be sort of random to me.  I'm sure there may be some reason for what is  retained and for how long, but, none that I've figured out.
